What is a Bill of Quantities?
Put simply it is a detailed cost analysis of very aspect of your self-build project, defining costs and quantities of your preliminaries, materials and labour.
What is a Tender Dossier?
This is arguably the most strategically important document that you will ever use in a self-build project as it defines to any potential builder, trades-person and or supplier exactly what you want them to quote you for;
- The exact quantities of materials you require (avoiding supposed overruns)
- The quality that those materials must meet (avoiding sub-standard materials)
- Methodology of installation (helping to protect you from poor workmanship)
- Tendering section (the area where contractors must enter their detailed bids)
By defining the above you are helping to ensure that you avoid unforeseen extras and overruns.
How they work
They are at there most effective when they are worked in tandem, the Bill of Quantities role is to act as a bench mark, letting you know what you need and how much it should cost, while the Tender Dossier's function is to define to the companies you are asking to bid exactly what you want from them, and not what they want to give you.
The Tender document also allows you to compare apples with apples, making it easier for you to decide who is offering you the best value for money and when used in conjunction with the Bill of Quantities it highlights areas where the contractor may be charging too much, giving you precise areas you can focus upon during your negotiations.
But most importantly they help to deter many of the so-called "cowboy builders" because they are not allowed the opportunity to give you an incomplete bid, or offer you a purposely low price which is intended to look so good that you cannot resist their (supposedly) low price. Known as "bidding to land", here the contractor is purposely giving you a bid below the cost, with the intention of purposely pulling back a profit through "extras" and "overruns" resulting in your building costs running over your budget.
